Complete Getting Started Guide
Welcome to preparAItor! This guide walks you through creating your first AI-powered job application, from signing up to downloading your finished documents.
What You Will Accomplish
By the end of this guide you will have:
- Created and verified your preparAItor account
- Uploaded your CV and reviewed the AI-parsed data
- Provided job details for a real position
- Generated a complete application package with up to 5 documents
- Downloaded your documents, ready to send
The whole process takes about 15 minutes the first time. Subsequent applications are faster because your CV is already saved.
1. Create Your Account
Sign Up
- Go to the preparAItor sign-up page.
- Register with your email address and a password, or sign up with your Google account.
- Check your inbox for a verification email and click the confirmation link.
First Login
Once verified, log in to your dashboard. You will see the Generator (at /app/generator), which is where all application packages are created.
How many generations you can run and which features are available depends on your plan — see the pricing page for details.
2. The Generator
The Generator guides you through a four-step wizard flow (numbered 0 through 3 in the UI). Each step must be completed before you can move to the next.
Step 0 — Upload Your CV
This is where you provide your professional background.
- Click Upload CV and select a PDF document file.
- The AI parses your document and extracts structured data: personal information, work experience, education, skills, languages, and projects.
- Review the extracted data in the editor. You can correct or add anything the parser missed.
- Save when you are satisfied.
This step supports a multi-CV library with a CV selector — you can upload multiple CVs over time and pick the active one for each generation, instead of being limited to a single upload.
Tips for best results:
- Use a clearly formatted CV with standard section headings.
- Make sure contact details, dates, and job titles are easy to read.
- A more complete CV leads to better-personalized output.
Step 1 — Job Details
Tell preparAItor about the position you are applying for. Above the input tabs you will see your Saved Jobs Library — any previously analyzed job can be reused directly from here without spending analysis credits. Storage depends on your plan: Free 1, Starter 3, Pro 10, Premium 20 saved jobs. When the library is full, a replacement picker lets you choose which saved job to swap out.
Below the library there are three tabs, and you only need to use one:
- URL — Paste the web address of a job posting and click Analyze URL. Dedicated handling exists for jobs.ch, jobup.ch, LinkedIn, and Indeed; other sites go through a generic fetch and may fail.
- PDF Document Upload — Drag and drop a PDF document of the job posting onto the dropzone. It processes automatically — there is no submit button. 10 MB maximum.
- Manual — Paste the job description (minimum 50 characters) and click Submit Job Details. Job title, company, and address are optional override fields hidden behind an expandable section; by default the AI infers them from your description.
Review the parsed job data before continuing. You can always edit fields manually.
Step 2 — Review & Verification
This step lets you verify three groups of data before generation:
- Personal information — confirm your name, address, phone number, and email are correct and current.
- CV data — review the parsed work experience, education, and skills that will be used.
- Job data — check the job title, company, description, and requirements.
Real-time validation highlights any missing or incomplete fields. Fix them here to get the best results.
Step 3 — Settings & Generate
Configure your output and launch the generation.
Template selector Choose between the two system templates:
- Standard Template — available on every plan. On the Free plan, the Motivational Letter and Application Email carry a small "Generated with preparAItor" footer; paid plans are watermark-free.
- Premium Professional — a clean, watermark-free layout, available on Starter, Pro, and Premium.
On Premium you can also upload your own .docx templates (up to 10 custom templates per account, 1 MB max per file, placeholders in single square brackets like [firstName]). Free, Starter, and Pro plans use the built-in templates only.
Language Select the language for your generated documents. German, French, and Italian are available across the current plans, and English is unlocked on Pro and Premium. The Swiss orthography toggle is German-only: when German is selected, enabling it replaces the Eszett character "ß" with "ss" — turn it on if you are applying in Switzerland.
Tone Pick the writing tone:
- Formal — traditional business language.
- Confident — assertive and self-assured.
- Friendly — warm and approachable.
- Enthusiastic — high-energy and mission-aligned.
- Direct — terse, no-nonsense, technical-friendly.
Formal is on every plan; Confident, Friendly, Enthusiastic, and Direct are unlocked on Pro and Premium. Tone shapes only the Motivational Letter and Application Email — the Interview Q&A, Job Summary, and Job Posting use fixed layouts.
Generate When everything looks right, click Generate Documents with AI. Generation typically completes in under 2 minutes. The work runs in the background — you don't need to keep the tab open. If you navigate away, come back to the History page and your documents will be waiting.
3. Your Application Package
A successful generation produces up to 5 documents:
- Motivational Letter — A cover letter tailored to the job and your background.
- Application Email — A ready-to-send email introducing your application.
- Interview Q&A — Potential interview questions with suggested answers based on the role. For live, conversational practice, see the separate Interview Practice feature (live chat sessions).
- Job Summary — A concise analysis of the position and the company.
- Job Posting — An archived copy of the role input, kept for your records.
The exact formats you can download (PDF documents, Editable Word documents, etc.) and whether documents carry a watermark depend on your plan — see the pricing page.
4. Download & Next Steps
Downloading
Downloads happen on the History page, not inside the wizard. Open History and locate the generation you want.
- Download All (ZIP) bundles every document into a single archive. This is a Premium feature — users on lower tiers will only see the individual format bubbles for each document.
- Otherwise, download individual files one at a time using the format bubbles.
- Fallback filenames follow the pattern
YYYY-MM-DD_company_jobTitle.zip(date, company, then job title).
What to Do Next
- Review your documents. Open each file and make any personal tweaks before sending.
- Send your application. Use the Application Email as your starting point and attach the Motivational Letter.
- Prepare for the interview. Study the Interview Q&A before you get the call.
- Generate again. For your next application, go back to the Generator. Your CV is already saved — just add new job details and generate.
