Overview of CV Management Features

preparAItor's CV management system includes:

Part 1: CV Upload Process

Preparing Your CV for Upload

Before uploading, ensure your CV meets these requirements:

File Format Requirements

  • Accepted Format: PDF documents only
  • Maximum Size: 10 MB per file
  • PDF Document Page Limit: Up to 10 pages per PDF document
  • Text-Based: Avoid image-only or scanned PDF documents
  • Standard Layout: Use conventional CV formatting

Content Requirements

  • Complete Contact Information: Name, phone, email, address
  • Professional Experience: Job titles, companies, dates, descriptions
  • Education: Degrees, institutions, graduation dates
  • Skills Section: Technical and soft skills clearly listed
  • Clean Formatting: Consistent fonts, headings, and spacing

Step-by-Step Upload Process

1. Access CV Upload

  1. Log into your preparAItor dashboard
  2. Open the Generator
  3. You'll be taken to the Generator wizard
  4. In Step 1 (Upload CV), click "Upload CV" or select from existing CVs

2. Upload Method

Upload uses a single click-or-drag dropzone:

  1. Click anywhere in the dropzone to open the file picker, or drag your CV file directly onto it
  2. Select your PDF document
  3. Wait for the upload progress indicator
  4. Confirm successful upload

Auto-Select: A newly uploaded CV is automatically selected for your current application — no extra click required.

3. AI Processing Stage

During processing, our AI:

  • Extracts structured data from your CV
  • Identifies sections (contact, experience, education, skills)
  • Validates information completeness
  • Checks for common formatting issues
  • Processing typically takes a few moments

Monitoring Upload Progress

You'll see real-time updates:

  • Upload Progress: File transfer status
  • AI Processing: Extraction progress
  • Validation: Data completeness check
  • Success Confirmation: Ready for review

Part 2: CV Editor and Data Review

Understanding the Live CV Editor

The editor provides:

  • Section-by-Section Review: Organized data display
  • Inline Validation: Errors surfaced per field and per tab
  • Explicit Save Controls: Save and Save and Close buttons keep you in full control
  • Unsaved Changes Indicator: The editor clearly marks when you have unsaved edits, and prompts a discard-confirmation dialog if you try to close with pending changes

Editor Structure: 6 Tabs

The CV Editor is organized into 6 dedicated tabs, in this order:

  1. Personal & Summary Tab: Contact details, professional summary, location
  2. Experience Tab: Job history, positions, responsibilities, achievements
  3. Education Tab: Degrees, institutions, dates, honors
  4. Skills Tab: Hard skills, soft skills, technical proficiencies
  5. Languages Tab: Language proficiencies and levels
  6. Projects Tab: Notable projects and accomplishments

Navigation: Click any tab to jump to that section. If a tab contains validation errors, a red Badge with the error count appears on that tab header.

Set as Default CV

In the Personal & Summary tab, click the star button to mark a CV as your default. The default CV is pre-selected when you start a new application.

Profile Sync Feature

Sync with Profile (Optional):

  • Located in the Personal & Summary tab only (it is not a global editor button)
  • Click "Sync with Profile" to copy the CV's personal details to your user profile
  • Important: Save all changes before syncing

Reviewing Extracted Information

Personal Information Section (Tab 1)

Check and edit:

  • Full Name: Ensure correct spelling and format
  • Phone Number: Verify country code and format
  • Email Address: Confirm it's current and professional
  • Address: Update if location changed
  • LinkedIn Profile: Add or update URL
  • Professional Title: Current or target job title

Experience Section (Tab 2)

For each position, verify:

  • Job Title: Exact title from your CV
  • Company Name: Full company name
  • Employment Dates: Start and end dates
  • Location: City, country
  • Job Description: Key responsibilities and achievements
  • Skills Used: Technical and soft skills

Education Section (Tab 3)

Review:

  • Degree Type: Bachelor's, Master's, PhD, etc.
  • Field of Study: Major or specialization
  • Institution Name: University or school
  • Graduation Date: Month and year
  • GPA/Honors: If relevant and included
  • Location: Institution location

Skills Section (Tab 4)

Organize skills by:

  • Technical Skills: Programming, software, tools
  • Soft Skills: Communication, leadership, teamwork
  • Tools & Frameworks: Platforms and libraries you use

Languages Section (Tab 5)

Manage your language skills:

  • Language Name: e.g., English, German, French
  • Proficiency: free-form text — write whatever you prefer (e.g. "Native", "Fluent / C2", "B2", "Working knowledge"). The editor offers a suggestion list to pick from, but you can type a custom value too.
  • Add multiple languages as needed

Projects Section (Tab 6)

Document your notable work:

  • Project Title: Name of the project
  • Description: What you accomplished
  • Date/Period: When it was completed
  • Role: Your specific contribution
  • Technologies: Tools or skills used (if applicable)
  • Link: URL to project or portfolio (optional)

Note: There is no separate Certifications section in the editor.

Making Corrections and Additions

Editing Fields

  1. Click on any field to edit
  2. Make your changes
  3. Click the Save button (or Save and Close) to persist your edits — changes are not saved by pressing Enter or clicking outside
  4. If you try to close with unsaved edits, a discard-confirmation dialog appears

Adding Missing Information

Use the section-specific add buttons to create new entries:

  • Add Experience (Experience tab)
  • Add Education (Education tab)
  • Add Skill (Skills tab)
  • Add Language (Languages tab)
  • Add Project (Projects tab)

Fill in the fields, then click Save to persist.

Validation Feedback

The editor surfaces validation in two places only:

  • Tab headers: A red Badge shows the number of errors on each affected tab
  • Inline field errors: Invalid fields display an error message directly beneath them

There are no green-check, yellow-warning, or other status colors.

Part 3: Managing Multiple CVs

CV Storage Limits

The number of CVs you can store depends on your plan:

  • Free: 1 CV
  • Starter: 1 CV
  • Pro: 3 CVs
  • Premium: 10 CVs

Managing Your CVs

Selecting a CV

When starting a new application:

  1. Go to the Generator wizard
  2. In Step 1, you'll see all your stored CVs
  3. Click on any CV card to select it
  4. Or upload a new CV if within your tier limit

Editing or Deleting Existing CVs

Both Edit and Delete live inside the same 3-dot (More) menu on a CV card — there is no separate Edit button.

To edit:

  1. On the CV card, click the 3-dot (More) menu
  2. Select Edit
  3. Make your changes in the CV Editor
  4. Click Save (or Save and Close) to persist

To delete:

  1. On the CV card, click the 3-dot (More) menu
  2. Select Delete
  3. Confirm deletion — this frees up space for a new CV

Part 4: CV Storage and Credit System

Understanding the Credit System

preparAItor uses a unified credit system. Each CV upload costs 15 credits from your monthly pool:

  • Free: 150 credits / month
  • Starter: 750 credits / month
  • Pro: 2000 credits / month
  • Premium: 4000 credits / month

Important: Editing an existing CV in the CV Editor does NOT use credits. Only new uploads consume 15 credits. See the credit system guide for full details.

Data and Account Management

You can delete your account and data at any time via Settings > Account. For data-related requests, contact admin@preparaitor.ch.

Best Practices for CV Management

Keeping CVs Current

  1. Regular Updates: Update your CV after new achievements or skills
  2. Edit Don't Re-upload: Use the CV Editor to make changes (saves analysis credits - editing is free!)
  3. Multiple Versions: Maintain role-specific or industry-specific CVs
  4. Clear Naming: Give CVs descriptive names when uploading
  5. Monitor Credit Usage: Check your dashboard to track remaining analysis credits

Managing Storage Limits

Your plan determines how many CVs you can keep (Free: 1, Starter: 1, Pro: 3, Premium: 10). Organize your CVs by keeping a general-purpose version and creating specialized versions for different industries or roles as your plan allows.

When to Upload a New CV vs. Edit Existing

  • Upload New (uses 15 credits): Completely different career direction, major restructure, new CV file
  • Edit Existing (FREE - no credits used): Updates to experience, new skills, minor corrections, fixing errors
  • Benefit of Editing: Saves your precious CV analysis credits for when you really need them

Part 5: Validation and Quality Control

Validation Requirements

Minimum Required Fields

Ensure these are complete:

  • Contact Information: Name, phone, email
  • Professional Experience: At least one position
  • Education: Minimum education level
  • Skills: Relevant competencies

Quality Checks

  • Ensure all required sections (contact info, experience, education, skills) are filled in
  • Check that job titles and dates are consistent
  • Verify skills match the roles you are targeting

Common Issues and Solutions

Upload Problems

Issue: "File too large"

  • Solution: Compress the PDF document or reduce image quality
  • Prevention: Use text-based CVs under 10MB

Issue: "Extraction failed"

  • Solution: Check formatting and try converting to a PDF document

Security and Privacy

  1. CV data is encrypted at rest and is scoped to your account. We do not use your CV to train AI models.
  2. Delete outdated versions from the CV card's 3-dot menu to keep your library lean and free up storage slots.
  3. Download a generated cover letter as an Editable Word document (.docx) (Pro/Premium) if you want an offline reference copy of CV-derived output.
  4. Account deletion (Settings > Account) removes every stored CV immediately — there is no recovery window, so export anything you want to keep first.
