How to Generate Your Application Documents
What You Will Generate
One generation run produces a complete, tailored document bundle for a single job application:
- Motivational Letter -- A full cover letter that connects your CV to the job requirements. (All plans.)
- Application Email -- A concise, ready-to-send email introducing your application. (All plans.)
- Job Posting -- An archive copy of the original listing for your records. (All plans.)
- Interview Q&A -- Exactly 20 tailored interview questions across 8 categories (role & motivation, company & culture fit, experience & skills, technical, behavioral, situational, gap & weakness, and closing), each with a suggested answer and key points drawn from your CV and the posting. Pro and Premium only.
- Job Summary -- A condensed digest of the role's key requirements and company information. Pro and Premium only.
Every plan receives all five documents — a generation costs the same 100 credits whichever plan you are on. Separately from these documents, every user also gets 2 free lifetime Interview Practice sessions (live AI mock interviews with scoring) -- see the Interview Preparation guide.
What it costs
- Generating the document bundle: 100 credits. The cost is shown directly on the Generate button.
- Analyzing a new job posting (URL, PDF, or manual text): 10 credits, charged once when you analyze it.
- Parsing a new CV upload: 15 credits, charged once at upload.
- Reusing an already-analyzed CV or a job from Saved Jobs costs nothing extra -- the wizard even reminds you: "No credits needed — reuse a previously analyzed job."
If a generation run fails, the credits reserved for it are released automatically -- you are not charged for failed runs. (Deleting a finished generation does not refund credits.) More detail in Credit System Explained.
Prerequisites
- A CV in your account. If you have not uploaded one yet, follow the Upload Your CV guide first.
- A job posting -- as a URL, a PDF file, or pasted text.
- Complete personal information (name, email, address). The wizard blocks the final Generate button until required personal fields are filled; you can complete them in Step 3.
The 4-Step Wizard
Open Apply AI in the main navigation. A stepper bar walks you through four steps: Upload CV, Job Details, Review, and Generate.
Step 1: Upload & Select CV
Under Step 1: Upload & Select CV, click any CV card to select it, or click Upload New CV to add one (PDF or plain-text, max 10 MB). New uploads are analyzed by AI -- typically 45-60 seconds. When your CV shows as ready, click Continue in the footer.
How many CVs you can store depends on your plan (50 on every plan).
Step 2: Job Offer Details
Step 2: Job Offer Details offers four input tabs:
- URL -- Paste the job listing link and click Analyze URL. Open the job ad in its own tab first and copy the clean, job-specific URL (not the search-results page) for best results.
- PDF Upload -- Drag and drop a saved job-posting PDF; the content is extracted automatically.
- Manual -- Paste the full posting text (minimum 50 characters) into Job Description, optionally fill Job Title and Company, then click Analyze Job.
- Saved Jobs -- Reuse any job you have analyzed before, at no credit cost.
Some job portals block automated access. If URL analysis fails with a portal-blocked message, paste the ad text on the Manual tab or upload it as a PDF instead -- your credit is not charged for the failed attempt.
After analysis, review the extracted Job Title, Company Name, Location, and Job Description. Also check the Additional Important Company Information section (contact person, company address, postcode, city): these details are printed in the header and address block of your cover letter, so correct anything the AI misread.
Step 3: Review Information
Step 3: Review Information shows a read-only summary of your selected CV and the job data. This step also displays your Personal Information card -- click Edit there to fill in any missing fields (they are required for generation). To change CV or job data, go back to Step 1 or Step 2.
This step also offers a Match Check (15 credits): the AI scores your CV against the posting's requirements and gives a verdict -- apply as-is, tailor first, or weak fit -- with a requirement-by-requirement breakdown you can export as a PDF. It's an optional diagnosis before you spend 100 credits on generation; the result stays saved with the job.
Step 4: Generation Settings
Step 4: Generation Settings is where you configure the output:
- Template Selection -- Pick from the Choose Template dropdown. Under Default Templates you'll find Standard Template (available to everyone; adds a preparAItor watermark to cover letters and emails) and Premium Professional (no watermark; requires a paid plan). Premium subscribers also see their own uploaded Word templates under Custom Templates -- see the Custom Templates guide.
- Language -- Choose the output language. German, French, and Italian are available on every plan; English requires Pro or Premium.
- Writing Tone -- Choose Formal, Confident, Friendly, Enthusiastic, or Direct. All five tones are available on every plan. Tone affects the motivational letter and application email.
- Swiss Orthography (Replace ß with ss) -- A toggle shown for German output that applies Swiss spelling rules to your documents.
Generate
Click Generate in the wizard footer (the button shows the 100-credit cost; while running it reads Generating...). A Request Submitted confirmation appears: your job has been added to the queue, and generation can take up to 5 minutes.
You do not need to wait on the page -- the run continues in the background. Your documents appear in Generation History (the History entry in the navigation) as each one finishes.
If generation seems slow or the page times out, do not start a second run. Open History -- documents usually land there within a few minutes, and each file becomes downloadable as soon as it is ready.
Downloading Your Documents
In Generation History, click Download on your generation to open the download menu. Each document (Motivational Letter, Application Email, Job Posting, Interview Q&A, Job Summary) is listed with its available formats:
- PDF -- all plans.
- DOCX (editable Word) -- Pro and Premium, so you can fine-tune the text before sending.
- TXT -- Premium only.
- Download All (ZIP) -- one archive with everything, Premium only.
Two things worth knowing:
- Documents expire. Generations are kept for your chosen retention period (up to 30 days -- the Expires column shows the date). Download your files before then, or click Add to Tracker to keep a long-term record in the Application Tracker.
- Watermark removal on paid plans applies to the cover letter and application email.

Tips for Best Results
- Keep your CV complete and up to date. The AI only uses what is actually in your CV -- it never invents qualifications, so missing detail means thinner documents.
- Provide the full job posting. When pasting manually, include everything -- requirements, responsibilities, company details. Do not summarize it yourself.
- Fix extracted data before generating. AI extraction can make mistakes; wrong company details end up printed on your letter header.
- Review before sending. Generated documents are a strong starting point -- always read through and personalize.
- Try a different tone. If the first result does not feel right, run it again with another tone (Pro/Premium).
