How to Generate Your Application Documents
What You Will Generate
With a single generation run, preparAItor can produce a tailored document bundle:
- Motivational Letter -- A full cover letter matched to the job posting. (All plans.)
- Application Email -- A ready-to-send email introducing your application. (All plans.)
- Job Posting -- A cleaned-up archive of the original listing for your records. (All plans.)
- Interview Q&A -- A fixed set of 20 tailored interview questions across 8 categories (role & motivation, company & culture fit, experience & skills, technical, behavioral using STAR, situational, gap/weakness, and closing), each with key points, based on your profile and the role. Pro and Premium only.
- Job Summary -- A condensed overview of the job posting's key requirements. Pro and Premium only.
Free and Starter plans receive 3 of the 5 documents per generation. The Interview Q&A and Job Summary PDF documents kick in on Pro and Premium. Every user — regardless of plan — also gets 2 free lifetime Interview Practice sessions (live scored AI mock interviews), so the interview-prep story doesn't stop at the Q&A document.
Each generation run costs 50 credits from your monthly credit pool. If generation fails, the reserved credits are automatically released and refunded by the backend reservation flow, so you are never charged for a failed run.

Prerequisites
Before you start, make sure you have:
- Your CV uploaded to preparAItor. If you have not done this yet, follow the Upload Your CV guide first.
- A job posting you want to apply for. You can provide it as a URL, a PDF document, or paste the text manually.
The 4-Step Generation Wizard
Open the dashboard and click Generate in the main navigation to launch the wizard. The wizard walks you through four steps.
Step 1: Select or Upload a CV
Pick the CV you want to use for this application. If you need to upload a new one, you can do that directly from this step without leaving the wizard.
Step 2: Add Job Details
Provide the job posting you are applying to. At the top of this step, a Saved Jobs Library lets you reuse any job you have previously added. Below that, you have three input options:
- URL -- Paste the link and preparAItor will extract the content automatically.
- PDF Document Upload -- Upload a saved job posting file.
- Manual -- Paste or type the job description text yourself.
Step 3: Review Extracted Data
Once the job posting has been processed, review the extracted information. Check that the job title, company name, and key requirements look correct, and edit any field that needs fixing before moving on.
Step 4: Settings and Generate
The final step is where you configure output preferences and launch generation:
- Template -- Choose between Standard Template and Premium Professional. Higher-tier plans unlock additional custom templates.
- Language -- Pick the output language: DE, EN, FR, or IT. Available languages depend on your tier.
- Swiss orthography -- When the language is set to German, a Swiss orthography toggle appears so you can produce documents using Swiss German spelling conventions (for example, using "ss" instead of "ß").
- Tone -- Pick from formal, confident, friendly, enthusiastic, or direct. Non-formal tones are unlocked on plans with custom-tone support; the free tier uses formal. Tone only affects the Motivational Letter and Application Email.
When everything looks right, click Generate Documents with AI. The button label changes to Generating Documents... while the job runs. Generation typically completes in under 2 minutes, so you can either wait on the page or come back shortly.
Once complete, your generation is saved to History. There is no in-app preview screen today — review the files after downloading them.
If generation seems to take too long or the page times out, do not start over immediately -- generation runs asynchronously and may still finish in the background. Open the History tab to check whether your documents have landed there.
Understanding Each Document
- Motivational Letter — A personalized cover letter that connects your experience to the job requirements. (All plans.)
- Application Email — A concise, professional email you can send (or paste) when submitting your application. (All plans.)
- Job Posting — A clean archive of the original listing — useful for your own reference. (All plans.)
- Interview Q&A — A fixed set of 20 tailored questions across 8 categories, each with suggested answers and key points, drawn from your CV and the job posting. Pro and Premium only.
- Job Summary — A brief digest of the role's key responsibilities, requirements, and company info. Pro and Premium only.
Download and Edit
After generation, you can download your documents in several ways:
- Individual download -- Click the download button on any single document.
- ZIP download -- Download all generated documents at once in a ZIP archive (Premium only).
- Editable Word document (.docx) format -- Where available, download as an Editable Word document (.docx) so you can edit in Word or Google Docs before sending.

Tips for Best Results
- Keep your CV complete and up to date. The more detail the AI has, the better it can tailor your documents.
- Provide accurate job details. If pasting manually, include the full posting -- do not summarize it yourself.
- Review before sending. AI-generated content is a strong starting point, but always read through and personalize where needed.
- Try different tones. If the first result does not feel right, regenerate with a different tone setting.
