Step 1: Upload Your CV (2-3 Minutes)
The first time you use preparAItor, you upload your CV so the AI knows your background. This is a one-time step — once uploaded, your CV is stored and reused for every future generation.
How It Works
- Go to the CV section in the main navigation
- Click Upload CV and select a PDF document (up to 10MB)
- The AI parses your CV automatically, extracting:
- Personal information (name, contact details, LinkedIn, GitHub, portfolio, professional summary)
- Work experience with dates and descriptions
- Education history
- Hard and soft skills
- Languages with free-form proficiency (write "native", "fluent", "B2", or however you describe it)
- Achievements and projects
Best Results From CV Upload
Use a clean, text-based PDF document with standard section headings (Experience, Education, Skills). Plain-text documents (.txt) are not accepted in the current parser. Avoid scanned image PDFs, complex tables, or heavy graphics. If parsing misses something, you can always edit manually in the CV Editor.
After Upload
Review the extracted information in the CV Editor. You can edit any field, add missing details, or correct errors. Save the changes explicitly in the editor, and they apply to all future generations.
Multiple CVs: Depending on your plan, you can store multiple CVs — for different industries, languages, or role types. Set one as "Primary" and it is used by default.
Time: First upload takes 2-3 minutes including review. After that, your CV is already on file.
Step 2: Enter the Job Details (1-2 Minutes)
With your CV uploaded, you are ready to create an application. Start by providing the job listing.
Three Input Methods
1. URL Parsing (most common) Paste the job listing URL. The AI extracts all information directly from the page. We have tuned handling for LinkedIn, Indeed, Jobs.ch, and JobUp.ch; other job boards and most company career pages go through generic fetching and may fail on login- or JavaScript-heavy pages.
2. PDF Document Upload Upload a job description saved as a PDF document. Useful for job descriptions received via email or downloaded from websites.
3. Manual Text Entry Copy and paste the job description text, or fill in a structured form. Useful when URL parsing fails or for jobs received verbally.
What Gets Extracted
Regardless of input method, the AI pulls out:
- Job title and company name
- Location and work mode (on-site, hybrid, remote)
- Employment type (full-time, part-time, contract)
- Requirements and qualifications
- Benefits and perks
- Application deadline and contact information
URL Parsing Coverage
URL parsing is tuned for LinkedIn, Indeed, Jobs.ch, and JobUp.ch. Other sites and most company career pages can still work through generic fetching, but they are more likely to fail if the page is login-walled or heavily JavaScript-driven. If a URL does not work, fall back to PDF document upload or manual entry — all three methods feed into the same pipeline.
Time: 1-2 minutes depending on input method.
Step 3: Review Parsed Job Details (1-2 Minutes)
After parsing, you see a Review Job Details screen showing all extracted information. This is your chance to verify accuracy before generating.
What to Check
- Job title and company name are correct
- Location and work mode match the posting
- Key requirements are captured
- Contact person details are present
Edit If Needed
Click any field to edit. You can correct misinterpreted information, add missing details, or refine the requirements. The more accurate the job data, the better your generated documents will be.
Review Before Generating
Each generation costs 50 credits and produces all documents available on your plan. Take a moment to verify job details and ensure your CV is up to date before generating — it saves you from spending another 50 credits on a regeneration.
Time: 1-2 minutes for review and any corrections.
Step 4: Choose Language, Tone, and Template (30 Seconds)
Before generating, select your preferences:
Language
Four languages are supported: German, French, Italian, and English on plans that include English output. When German is selected, you can enable Swiss orthography (uses "ss" instead of "ß"). Language availability varies by plan.
Your CV language and output language are independent — you can have a German CV and generate English documents.
Tone
Five writing tones:
- Formal — Traditional professional language. Best for corporate, banking, legal, and government roles.
- Confident — Assertive and professional with strong action verbs. Best for competitive and leadership positions.
- Friendly — Warm and approachable, modern professional style. Best for startups, creative industries, and customer-facing roles.
- Enthusiastic — High-energy and mission-driven. Best for culture-led teams and roles where visible excitement matters.
- Direct — Clear, concise, and low-fluff. Best for technical, operational, and no-nonsense environments.
Template
Choose from 2 built-in system templates — Standard Template (all plans) and Premium Professional (Starter and above) — or, on the Premium plan, select a custom Word template you have uploaded. Custom templates use placeholder variables like [firstName], [companyName], and [applicationText] (single square brackets, camelCase, case-insensitive).
You can set defaults for language and tone in Settings > Preferences. Default template selection lives in Settings > Templates.
Time: 30 seconds if using defaults, a bit longer if changing settings.
Step 5: AI Generation (A Few Minutes)
Hit Generate and the automated 6-step pipeline runs:

Each generation produces up to 5 documents depending on your plan:
- Motivational Letter — Personalized cover letter with professional greeting, opening explaining your interest, body connecting your experience to the job, and closing with a call to action. 1-2 pages.
- Application Email — Ready-to-send email with subject line, introduction, qualification highlights, and reference to attached documents. Copy-paste into Gmail, Outlook, or any email client.
- Interview Q&A — 20 tailored questions with personalized answers across 8 categories: role & motivation, company & culture fit, experience & skills, technical, behavioral (using the STAR method), situational, gap/weakness, and closing prompts you can ask the interviewer. (Pro and Premium only.)
- Job Summary — Structured overview with requirements, nice-to-haves, benefits, and enriched company details. Useful for interview prep and comparing jobs.
- Job Posting — Formatted copy of the original posting for offline reference and archiving.
All-or-Nothing Generation
Documents cannot be generated individually. Each generation produces the full set available on your plan. The exact documents and formats depend on your subscription tier. The documents are interconnected — they all draw from the same analysis of the job, company, and your CV.
Time: Typically a few minutes depending on server load.
Step 6: Review, Download, and Apply (1-2 Minutes)
Once generation completes, the entry is available in your history.
Review
There is no in-app preview screen today. Download the files you want to review, then open them locally and check that the cover letter references the right experience, the email sounds professional, and the interview Q&A covers relevant topics.
Download
- Individual download — Click the download button for any specific document and format
- Bulk download — Click "Download All" to get a ZIP file with all documents at the root of the archive (Premium only)
Available formats include PDF documents (ready to send), Editable Word documents (.docx, editable in Word or Google Docs), and Plain-text documents (.txt, for pasting into online forms). Format availability varies by plan.
Cloud Sync
If you have connected Google Drive or OneDrive, documents are automatically synced in the background into your selected cloud-sync structure with localized file naming.
Apply
Your application package is ready. Copy the email text, attach the cover letter and CV, and send. Use the Interview Q&A to prepare if you get an interview, and the Job Summary to refresh your memory before the conversation.
Time: 1-2 minutes for review and download.

For returning users with a CV already on file, the process is even faster — you skip Step 1 entirely and go straight to pasting the job URL.
Get the Most From Each Credit
Review your CV data and job details carefully before generating. A quick check can save you from spending an extra credit on a regeneration. Also set your preferred language and tone as defaults in Settings so you can skip Step 4 most of the time.
