Getting Started
How do I get started with preparAItor?
Create a free account, verify your email, upload your CV as a PDF, then add a job by pasting a URL, uploading the posting as a PDF, or entering the text manually. After parsing, review the extracted CV and job details in the editors, choose your language, tone, and template, and generate the package. Your CV and parsed jobs stay in your library so you can reuse them for later generations, and the first full package is usually ready in around a minute or two.
Do I need technical knowledge to use the platform?
No. Provide your CV and a job posting, choose your settings, and the AI handles everything else. All documents are generated automatically.
How long does it take to generate a complete application?
Most complete generations finish in around a minute or two. Behind the scenes, preparAItor parses the job, enriches the company context, generates the document set available on your plan, packages the output formats, and optionally pushes copies to cloud sync if you have it enabled. Exact timing still depends on server load and on how quickly the source job posting can be parsed.
What file formats do you accept for CV upload?
CV upload currently accepts PDF only, up to 10 MB. If your CV lives in Word, Google Docs, Pages, or plain text, export it to PDF before uploading. After upload, the parser runs in the background and turns the file into an editable structured profile. For best results, use a clean PDF with standard section headings and readable text extraction.
How can I input job information?
You can add a job in three ways: paste a URL, upload a PDF document up to 10 MB, or enter the text manually. URL parsing is tuned for LinkedIn, Indeed, Jobs.ch, and JobUp.ch, and generic fetching covers many other career pages. Every unique job parse costs 10 credits and includes automatic company enrichment. If parsing fails because a site blocks access, is JavaScript-heavy, or sits behind login, the credit reservation is released and you can retry or fall back to PDF/manual entry.
What do I get with each generation?
Each generation costs 50 credits from your unified credit pool and produces an application package: Cover Letter, Application Email, Interview Q&A, Job Summary, Job Posting. Free and Starter plans receive the Motivational Letter, Application Email, and Job Posting archive (3 of 5). Generated Documents
What is the Cover Letter?
A personalized cover letter tailored to the specific job and company. It highlights your most relevant experience, references company-specific information from the AI enrichment, and adapts to your selected tone. Typically 1–2 pages. Available on Free, Starter, Pro, Premium.
What is the Application Email?
A ready-to-send email with a professional subject line and concise body. Introduces you, highlights key qualifications, references attached documents, and closes with a call to action. Copy-paste directly into any email client. Available on Free, Starter, Pro, Premium.
What is the Interview Q&A document?
Exactly 20 tailored interview questions with detailed suggested answers, split across 8 categories: role & motivation (2), company & culture fit (3), experience & skills (4), technical/role-specific (4), behavioral using STAR (3), situational (2), gap/weakness (1), and a closing prompt with questions to ask the interviewer (1). Available on Pro, Premium.
What is the Job Summary?
A structured overview of the job posting enriched with company information: requirements, skills, benefits, company overview, and industry details. Useful for quick reference before interviews. Available on Pro, Premium.
What is the Job Posting document?
The original job posting archived for your records. Whether you provided a URL, uploaded a PDF document, or entered details manually, the posting is preserved so you can refer back to requirements at any time. Available on Free, Starter, Pro, Premium.
What output formats are available?
Output formats depend on both your plan and the document type. PDF is available on every plan. DOCX downloads are available on Pro and Premium when you want to edit in Word or Google Docs. TXT is Premium-only for text-only systems and copy-paste workflows. The exact file set still depends on which document types your plan generates, so the pricing page remains the final breakdown.
Can I edit the generated documents?
Yes, but there are two different levels of customization. Pro and Premium can download DOCX versions of supported documents and edit them freely in Word or Google Docs before sending. Premium additionally supports uploaded custom Word templates, but those currently apply only to the Motivational Letter; the Application Email stays on the system email layout. You can also edit the stored CV or parsed job for free and then run a fresh generation. A new generation still costs 50 credits because it creates a new package and a new history entry.
Job Analysis & Input
How does the AI job analysis work?
The AI extracts job title, company, location, application URL, language, contact person/email/phone, company address and website, and the full job description text (stored verbatim, not split into requirements/responsibilities/benefits fields). Basic company enrichment runs alongside parsing. All fields are editable before generation.
What is company enrichment?
Basic enrichment — company name verification, website, HR address, and contact — runs automatically when you parse a job. Deep enrichment — industry, size, HQ, founding year, culture, and a detailed overview — runs automatically the first time you generate a document or start an interview session for that job, then caches on the job. There's no manual trigger and no extra charge.
Which job boards are supported?
We have tuned handling for LinkedIn, Indeed, Jobs.ch, and JobUp.ch — including automatic redirection from search-list URLs to the job detail page. Other sites (Glassdoor, Monster, StepStone, Xing, company career pages) go through generic URL fetching, which works when the page is text-based and not login- or JavaScript-walled. Fall back to PDF document upload or manual entry when a URL fails.
Why does entering a job posting cost credits?
All three input methods — URL, PDF document upload, and manual entry — use AI to extract, structure, and enrich the job data. This costs 10 credits from your unified credit pool. Failed parses are not charged.
Can I review and edit job details before generating?
Yes. After parsing, you see all extracted information and can edit any field — correct errors, add missing details, or adjust information before proceeding.
CV Management
How do I upload and manage my CV?
Upload a PDF CV up to 10 MB from the CV section of the app. The parser runs in the background and extracts your personal details, work experience, education, skills, languages, and projects/achievements into a structured profile. Once parsing finishes, open the CV in the built-in editor, review anything the AI may have misread, and save the corrected version for future generations. If parsing fails, you can retry from the CV library.
Can I edit my CV information after upload?
Yes. The CV editor lets you update contact details, summary, work experience, education, hard and soft skills, languages, projects, and achievements. You can add or remove entries, and where the editor supports it, reorder them to improve the final narrative. Use Save or Save and Close to persist changes, and the editor warns before discarding unsaved work. Those edits affect future generations only; documents you already generated keep the CV version that was used at the time.
How many CVs can I store?
Free and Starter: 1 CV. Pro: 3 CVs. Premium: 10 CVs. Multiple CVs let you tailor applications for different industries, roles, or languages. Set one as your default.
How much does CV parsing cost?
Uploading a CV for AI extraction costs 15 credits from your unified credit pool. Monthly credit pools: Free: 150, Starter: 750, Pro: 2000, Premium: 4000. Editing an already-parsed CV in the CV editor costs nothing. If you run out, wait for your monthly reset or purchase a credit package.
Can I upload a CV in any language?
The AI parses CVs in German, English, French, and Italian, including mixed-language CVs. Your CV language and document output language are independent — a German CV can produce English cover letters.
Templates & Generation Settings
How does template selection work?
There are two built-in templates and one optional custom layer. The Standard Template is available on every plan. Premium Professional is available on Starter, Pro, and Premium. Premium also unlocks uploaded custom Word templates. Built-in template choice affects the Motivational Letter and the Application Email. Uploaded custom templates currently replace the Motivational Letter layout only, while the email stays on the system email template. You can set a default in Settings > Templates and still override it per generation.
How do custom templates work?
Custom templates are a Premium feature. Upload a Word (.docx) file up to 1 MB with placeholders such as [firstName], [companyName], [jobTitle], and [applicationText]. Use single square brackets, keep placeholder names in the documented format, and do not use macros. Placeholders are case-insensitive, and empty fields can drop out cleanly if the line is designed well. You can store up to 10 custom templates per account in Settings > Templates. In the current product, uploaded custom templates apply only to the Motivational Letter, not to the Application Email or the other generated documents.
What writing tone options are available?
Five tones: Formal (conservative, traditional), Confident (assertive, achievement-forward), Friendly (warm, modern), Enthusiastic (high-energy, passionate), and Direct (terse, no-nonsense). Free and Starter plans use Formal only. Pro and Premium plans can choose any tone. Tone applies to the cover letter and application email only.
How do language settings work?
Set a default output language in Settings, or choose per generation. Available languages by plan: Free: DE, FR, IT; Starter: DE, FR, IT; Pro: DE, EN, FR, IT; Premium: DE, EN, FR, IT. Swiss German orthography option replaces 'ß' with 'ss'.
What is Swiss German orthography?
Swiss German uses 'ss' instead of 'ß' (e.g. 'Strasse' instead of 'Straße'). Toggle in Settings > Preferences. Only applies when German is the output language.
Generation History & Downloads
How does the generation history work?
Generation history is the short-term archive of what you produced: the generated documents, the job snapshot, the CV reference, the chosen language and tone, the status, and cloud-sync status if you use a connected drive. Search works by company name and job title, not by full document text. You can filter by language, tone, and status, use preset date ranges (Last 7 days, Last 30 days, Last 3 months, All time), and sort by date, company, or job title before downloading individual files or, on Premium, a ZIP.
How long are generated documents stored?
Choose 1 day, 7 days, or 30 days (default 30) in Settings > Preferences. Documents are permanently deleted after expiry and cannot be recovered. If you pick 30 days, we email you 7 days before deletion. For longer-term storage, save applications to the tracker — tracker entries are kept for 365 days from import.
Can I download all documents at once?
Yes. Bulk download creates one ZIP for a single generation, with the included document types and formats filtered by your plan and by the per-document-type format toggles in Settings > Preferences > Bulk Download. It does not cost credits, and the files are added as flat files at the ZIP root. Bulk download is currently a Premium feature. Free, Starter, and Pro users can still download the same documents individually from the history card.
Can I preview documents before downloading?
There's no in-app document preview. Each history card shows the job title, company, language, tone, status, creation date, and expiry countdown. To read a document, open the download menu on the card and download it — PDF documents open in any viewer, Editable Word documents (.docx) open in Word or Google Docs for editing.
What happens to documents if I downgrade?
The history entry itself stays in place until its normal expiry date, but download permissions are checked against your current plan, not the plan you had when the files were generated. In practice that means the generation card remains visible after a downgrade, while premium download options such as DOCX or TXT can disappear if the new plan no longer includes them. New generations follow the new plan's limits. Anything you already downloaded, and anything already synced into your own cloud drive, stays exactly as it was.
Cloud Storage
Which cloud storage services are supported?
preparAItor currently supports personal Google Drive and personal OneDrive accounts. Only one provider can be connected at a time, and shared or team drives are not part of the current sync flow. Cloud sync itself is a Premium feature. On other plans, you can still download documents manually and upload them to your own drive yourself.
How do I set up cloud sync?
Open Settings > Cloud Drives, connect Google Drive or OneDrive through the standard OAuth flow, and then choose which document types and formats should auto-sync. New generations are uploaded in the background after generation completes. Sync is not retroactive, so documents you generated before connecting are not pushed up automatically. If you want older files in your drive, download them from history and upload them manually.
How are documents organized?
Files sync to a `preparAItor.ch/` root folder in your drive. Choose one of five folder-structure templates in Settings — Cloud Drives (hierarchical, by date, by company, by company + date, or by job). Document type is encoded in the filename (e.g., `Application_Letter`, `Bewerbungsschreiben`), not in the folder path. CVs aren't synced — cloud sync is for generated documents only.
What permissions does the app need?
Cloud connections use standard OAuth, so we never see your Google or Microsoft password. In actual product behavior, the app creates the preparAItor folder, uploads new generations there, and reads or updates the files it created for syncing purposes. We do not use the connection to browse your personal documents, photos, email, calendar, contacts, or shared-drive content. OAuth tokens are protected like other sensitive account data, and you can disconnect the drive from Settings or revoke the app directly from your Google or Microsoft account at any time.
What happens to cloud files if I cancel?
Previously synced files stay in your cloud storage — we never delete them. Auto-sync stops for new generations. If you resubscribe to Premium, sync resumes.
Settings & Preferences
What can I configure in Settings?
Settings covers your profile, account controls, defaults, notifications, templates, and connected services. In Preferences you can set theme, timezone, UI language, default output language, Swiss orthography, default tone, generation retention, interview retention, and bulk-download format preferences. Notifications, Templates, Account, and Cloud Drives each have their own tab. Billing and subscription management are now separate from Settings and live on the dedicated Billing page or in Stripe's customer portal.
How do I manage notifications?
Open Settings > Notifications. Email and In-App notifications each have their own master toggle plus category toggles for Transactional, Reminders, and Marketing / Product Updates. That gives you control over routine messages such as generation completions, low-credit nudges, and optional product news. A small critical set bypasses those preferences because it is tied to security, billing, or data deletion - for example password or email-change confirmations, payment receipts or failures, account-deletion confirmations, and retention warnings.
Can I change the app language?
Yes. English, German, French, and Italian for the interface. Set in Settings > Preferences. This is separate from document output language.
Is there a dark mode?
Yes. In the current Settings UI, theme selection is Light or Dark rather than a separate System-following mode. Change it in Settings > Preferences, and the new theme applies immediately.
How do I delete my account?
Go to Settings > Account > Delete Account and confirm with the required confirmation word shown in your language. Deletion happens immediately and permanently removes your account, CVs, parsed jobs, generated documents, tracker entries, templates, interview sessions, and summaries. Active Stripe subscriptions are cancelled as part of the same flow. Files that were already synced into your own Google Drive or OneDrive are not deleted by us. A minimal non-content audit record of the deletion event is retained for 30 days for compliance purposes. There is no recovery window, so export anything important first.
Pricing & Credits
What are the subscription plans?
Free (CHF 0/mo, 150 credits), Starter (CHF 9.90/mo, 750 credits), Pro (CHF 19.90/mo, 2’000 credits), Premium (CHF 29.90/mo, 4’000 credits). Each higher plan adds more formats, documents, and features. See the pricing page for the full comparison.
How does the credit pool work?
preparAItor uses one unified balance made up of two layers: your monthly plan allowance and any purchased top-up credits. The app automatically spends monthly credits first and only falls back to purchased credits when the monthly allowance is exhausted. Costs are 15 credits for CV analysis, 10 for job analysis, 50 for a full document generation, and 150 for a 20-exchange interview session or paid follow-up round. Some long-running actions use temporary reservations before the charge is committed, so failed starts release the credits instead of charging you.
Can I buy additional credits?
Yes. Credit packs are available on every tier, including Free. Purchased credits never expire, survive plan changes and cancellation, and are added to the same unified balance you already use for generation, parsing, and interview sessions. The system spends your monthly allowance first, so purchased credits act as durable backup capacity rather than being burned before the monthly pool.
Do unused credits roll over?
Monthly credit pool does NOT roll over — it resets each billing cycle. Purchased credit packages never expire and are preserved even if you cancel your subscription.
Can I cancel anytime?
Yes, for recurring subscriptions. Cancellation is handled from the dedicated Billing page or from the Manage Billing shortcut that opens Stripe's customer portal; billing is no longer managed inside Settings. Your current paid tier remains active until the end of the paid period, after which the account falls back to Free. Purchased credits stay in your balance. One-time tier packages do not need cancellation because they simply expire at the end of their term.
What billing period options exist?
Recurring subscriptions are available in monthly, quarterly, and semiannual billing cycles. Longer cycles lower the effective monthly price, but your usage period is still monthly, so credits reset on monthly usage cycles even when you pay every 3 or 6 months. Starter, Pro, and Premium can also be purchased as one-time 1-, 3-, or 6-month packages that do not auto-renew.
Why is there no 12-month plan?
Because we're built so you shouldn't need us that long. Most active job searches wrap up in 1–6 months, and a yearly commitment quietly bets against your success. We'd rather charge you for a few months and have you land a role than lock you in for a year. If you genuinely need long-term access, the 6-month plan can be renewed.
What payment methods are accepted?
Stripe handles checkout, saved payment methods, and invoices. Card-based checkout is the reliable baseline, and Stripe may also present additional regional payment methods depending on configuration and your location. That means the exact wallet or direct-debit options can vary over time. Your card details never touch preparAItor's servers.
Security & Privacy
Is my data secure?
Yes. Sensitive account data such as CVs, parsed jobs, generated documents, interview-session content, and cloud-drive OAuth tokens is protected at rest, and all browser-to-server traffic is encrypted in transit over HTTPS/TLS. We do work with a small number of essential processors - such as payment, infrastructure, and AI providers - but only under contractual restrictions that limit processing to running the service and prohibit using your content to train their models.
Where is my data stored?
Primary personal data is stored in European data centres. The public feature docs deliberately avoid publishing a fixed provider-and-city map because the underlying infrastructure can change, but the commitment is that your primary data stays in Europe. Payment details remain with Stripe rather than being stored directly on preparAItor's servers.
Are you GDPR compliant?
Yes. Core GDPR-style controls are available directly in the product where practical: you can edit inaccurate data, disconnect cloud drives, manage marketing preferences, or delete the account from Settings. For access, portability, restriction, or other formal rights requests, email admin@preparaitor.ch and the team handles them within the required timeframe. Account deletion is immediate and irreversible, with only a minimal non-content audit record of the deletion event retained for 30 days.
Do you sell or share my data?
We do not sell your data to advertisers, brokers, or anyone else. We share only what is necessary to operate the service: payment processors for billing, infrastructure providers for hosting and storage, and AI providers for document generation and interview sessions. Those partners act as processors under contractual restrictions, and your content is not used to train their models.
How can I secure my account?
Use a strong unique password, secure your email account carefully, and enable 2-factor authentication on Google or Microsoft if you use those providers for sign-in or cloud drives. Inside preparAItor, critical account actions are backed by verification and confirmation flows, and important security-related messages are sent through the critical notification lane. There is not currently a built-in two-factor-authentication setup flow inside preparAItor itself, so the security of your email account and identity provider matters a great deal.

How do I get help?
Start with the FAQ for how-to questions and feature explanations. For bug reports, suggestions, and smaller issues, use the in-app feedback button. For anything that needs a real reply - billing problems, login issues, GDPR requests, critical bugs, or security concerns - email admin@preparaitor.ch. The support flow is intentionally simple: no chatbot maze and no ticket portal in front of the humans.
How can I send feedback or report a bug?
Use the in-app feedback button when you are signed in with a verified email address. Choose Bug Report, Feature Request, Improvement, or Praise, then add a short subject, a detailed message, and a 1-5 rating. The form is text-only, submissions are tied to your account, and there is a daily submission limit to keep abuse down. If you need to send screenshots or attachments, email admin@preparaitor.ch instead.
How do I reset my password?
If you use email/password login, click 'Forgot Password' on the login page or trigger the reset flow from Settings > Account. We send the reset email to your account address. If it does not arrive, check spam and confirm you are using the correct sign-in method. Accounts that sign in with Google manage the login credential with Google rather than through a preparAItor password reset.
Which browsers are supported?
Chrome, Firefox, Safari, and Edge (latest versions). Mobile browsers work but desktop is recommended for the best experience.
