Cloud Storage Setup

Connect Google Drive and/or OneDrive to automatically sync your generated documents to the cloud. This guide covers setup, sync preferences, permissions, and what to expect.

Cloud sync is a Premium-only feature. Free, Starter, and Pro plans cannot sync to cloud storage. See the pricing page for details.

Supported Providers

  • Google Drive
  • OneDrive

You can only have one provider connected at a time. If you want to switch — say, from Google Drive to OneDrive — disconnect the first and connect the second. Files already synced to the previous drive are not moved or deleted.

Connecting Your Cloud Storage

  1. Go to Settings > Cloud Drives
  2. Click Connect next to Google Drive or OneDrive
  3. You will be redirected to the provider's sign-in page
  4. Sign in and approve the access preparAItor asks for
  5. You will be redirected back to preparAItor with a "Connected" status

Configuring Sync Preferences

After connecting, configure what gets synced:

  • Auto-sync master switch — A single toggle turns cloud sync on or off. When off, nothing is uploaded regardless of the other settings.
  • Document types — Pick which document types auto-sync: Motivational Letter, Application Email, Interview Q&A, Job Summary, and Job Posting. Each type has its own toggle. (CVs are not synced — only generated documents.)
  • Formats per type — For each enabled document type, choose which output formats sync: PDF documents, Editable Word documents (.docx), and/or Plain-text documents (.txt). Which formats are available depends on your plan.
  • Folder structure — Choose one of 5 folder templates (see below).

Folder Structure

All synced files live under a single root folder named preparAItor.ch on the provider. Inside that root, files are organized according to the template you select. There are 5 templates to choose from:

  • Hierarchical (default) — year / month / company / job
  • By date — year / month / day, with company and job grouped below
  • By company — company / job
  • By company + date — company / year / month / job
  • By job — one folder per job title

The document type is encoded in the file name, not the folder structure. All documents from one generation end up in the same folder, named so you can tell them apart at a glance. Filenames include the date, company, job title, and a localized document type (e.g. Application_Letter, Bewerbungsschreiben).

What Gets Synced (and What Doesn't)

Cloud sync is upload-only and forward-looking:

  • Every new generation that matches your type/format selection is uploaded to the connected provider.
  • There is no import, no download, and no backfill of past generations — documents created before you connected (or while sync was switched off) are not retroactively uploaded.
  • CVs are not synced.
  • Files larger than 50 MB are skipped.

Permissions

Each provider asks you to approve different levels of access when you connect:

  • Google Drive — preparAItor uses a limited Drive permission. It can only read and write files that it creates itself through preparAItor. It cannot see your other Drive files, photos, or folders.
  • OneDrive — preparAItor uses a broader permission because Microsoft does not offer a file-scoped equivalent. Technically the app has read/write access to your entire OneDrive, but in practice it only ever writes into the preparAItor.ch folder. Nothing outside that folder is touched.

You stay signed in so that sync can run automatically on every future generation without asking you to sign in again. You can revoke this at any time (see below).

If Sync Fails

Cloud sync is a secondary backup — documents are always saved to your generation history first. If sync runs into trouble, you see the status in-app on the generation:

  • Offline — sync pauses and retries automatically when you reconnect.
  • Authorization expired — reconnect from Settings > Cloud Drives.
  • Provider outage — we retry transient failures automatically.
  • Cloud drive full — free up space, then regenerate.

We do not send email notifications for sync failures. Check the Last sync timestamp in Settings to confirm sync is healthy.

Disconnecting

  1. Go to Settings > Cloud Drives
  2. Click Disconnect next to the provider
  3. Confirm disconnection

Disconnecting immediately stops any further uploads from preparAItor to that provider.

Important: Disconnecting does not delete files already synced to your cloud storage. Those files remain yours.

Revoking Access Completely

For full revocation, also remove access from the provider's own account page:

  • Google: myaccount.google.com > Security > Third-party apps
  • Microsoft: account.microsoft.com > Privacy > Apps and services

What Happens If You Cancel Your Subscription

  • Previously synced files remain in your cloud storage (never deleted)
  • Auto-sync stops for new generations once you drop below Premium
  • If you resubscribe to Premium, sync resumes for new generations — earlier generations that happened while you were off Premium are not backfilled
